Clerk to two Governing Bodies

Start Date: September 2022

Salary: £30 per hour

(9x FGB Meetings throughout 22/23 academic year)


Hollickwood Primary School and Church Hill and Brunswick Park Schools Federation are looking to appoint a Clerk to the Governing Bodies and Sub Committees.  The person will need to be well organised, plus be aware that that they will be privy to confidential and sensitive information. Key role responsibilities are:


·       Meet all stipulated deliverables and deadlines as Clerk to the Governing Bodies and appropriate Sub Committees

·       Maintain a record of Governing Board Membership - maintain up-to-date Board membership, including terms of office via GovernorHub (subscription required). The Clerk will flag vacancies and expiring terms to support Boards in ensuring the school and federation are compliant with the Instrument of Government

·       Liaise with the Executive Headteacher, Chairs of Governors to plot all Board and Committee meetings onto the annual calendar

·       Attend and clerk all Full Governing Body meetings

·       Liaise with respective Chairs of the Governing Bodies and nominated members of SLT to: 

o   Finalise agendas ahead of each meeting 

o   Ensure all required materials shared in advance 

·       Prepare and agree Minutes and matters arising with respective Chairs/SLT members to allow final versions to be issued to Trustees and all relevant school personnel in a very timely way 

·       Own and organise the online files for all Governance related materials so that they are available on request by formal bodies 

·       Organise all Governance related materials and have them readily available within the stipulated timeline ahead of meetings 

·       Remote Meetings - where a meeting is to be held remotely the Clerk will arrange this and send meeting invitations via Zoom/MS Teams

·       Share Information Updates with the Board - the Clerk will share termly Suggested Agenda Items with the Chair, Committee Chairs and Executive Head at the start of each term · The Clerk will share any updates from the Governance team and Clerk networks with the Governing Board · The Clerk will forward a welcome email to new Governors as part of their induction onto the Board – sign posting them to actions and training

·       Facilitate the completion of all statutory administration and training by Members during the first full-term of each academic year;
